Refund & Cancellation Policy

How attendee cancellations, event changes, duplicate payments, transfers and membership cancellations are handled.

This policy explains the general framework for cancellations, transfers, credits and refunds. Event-specific terms shown on the event page or at checkout may supplement or replace the general framework.

1. Event-specific terms

Review the date, location, inclusions, ticket type, transfer rules and cancellation window before payment. A specific rule shown before purchase controls unless applicable law requires otherwise.

2. XTribe cancels an event

If XTribe cancels an event and does not provide the purchased experience, the attendee may choose a refund to the original payment method or, where offered, a credit or transfer. XTribe will not deduct a cancellation charge.

Independent travel or accommodation costs are not reimbursed unless XTribe expressly agreed otherwise in writing.

3. Rescheduling or material change

A ticket normally remains valid for the replacement date or venue. The booking communication will state the deadline and method for requesting a refund, credit or transfer when the new arrangement is unsuitable.

A minor session, timing or operational adjustment that does not materially change the experience may not create an automatic refund right.

4. Attendee cancellation

Submit the request as early as possible through the Contact page and include the order or ticket reference.

Eligibility depends on the event-specific window, transferability and costs already committed. Where no window was shown, XTribe will assess the request reasonably with regard to notice, committed costs and whether the place can be reassigned.

5. Ticket transfers

A transfer is allowed only when the event permits it and the replacement attendee meets eligibility, identity, pricing and capacity conditions. Request it before the communicated deadline.

6. Late arrival and non-attendance

A missed event or late arrival does not normally qualify for a refund because costs may already be committed. A discretionary credit may be considered for exceptional circumstances.

7. Duplicate or failed payments

A verified duplicate payment will be refunded. Pending or failed transactions may first need reconciliation with the payment provider or bank.

8. Community membership

A recurring membership may be cancelled prospectively before the next renewal. Unless an offer states otherwise, a started membership period is not partially refunded merely because the member stops using the community.

This does not affect rights relating to duplicate billing, an incorrect charge, service failure or applicable law.

9. Processing time

XTribe aims to initiate an approved refund to the original payment method within 7 to 10 business days. The bank, UPI application, card network or payment provider may require additional time.

10. How to request

Use the Contact page, select booking, payment or refund, and provide the order reference, attendee, event and reason. Keep the support reference.
